Privacy notice
Last updated 13 October 2026
This notice says what Kubinu Reach does with personal data. Kubinu Reach is run by Kubinu Geopspatial Limited (RC 9913648), S2, Novare Shared Offices, Gateway Mall, Lugbe, Abuja. Write to hello@kubinu.com about anything in it.
Who is responsible
For your account, for what you send through the request form and for our own records, Kubinu Geopspatial Limited is the data controller.
For the lists your organisation uploads to a workspace (distributors, outlets, monthly sales, rep visits, an outlet census and the totals that go with them) and for what its supervisors record in the field, your organisation is the data controller and Kubinu is its data processor. We use them only to run the service for that workspace.
What we collect
- Your account: name, work email address, a hashed password, the role you hold in each workspace and when you were last seen.
- Sign-in security: the number of failed sign-ins, a hash of your network address, a hash of the browser you sign in from, and the two-step sign-in secret if you set one up. We never store the network address itself.
- Workspace requests: the name, organisation, work email, role, country and message typed into the request form, with a hash of the network address it came from.
- Uploaded lists: the files a workspace uploads and the rows we read from them. An outlet's name and position can be personal data when the outlet is one person's shop.
- Field answers: what a supervisor records for a field task, which is the answer, a short note, the time and, if they tap to give it, the position of their phone. The position is read only on that tap. It is stored with the answer, and for an outlet they add it becomes that outlet's position.
- The audit log: who changed what and when, with the email address of the person who acted. It holds no outlet name, no field note and no position.
What we do not take
A column of an upload whose heading looks like a BVN, a NIN, a phone number, an email address, a date of birth or an owner's name is not read, and it is taken out of the file before we store it. Sales reps are not named: visits are kept as counts for each outlet and month. We do not buy data about you, we show no advertising, and no third-party tracking script runs on this site.
Cookies and browser storage
One cookie keeps you signed in and one protects forms against forgery. Your choice of light or dark theme is kept in your browser. On the field pages a supervisor's phone keeps a copy of their task list for 7 days, and any answer that could not be sent until it is sent; both stay in that browser. There are no advertising or analytics cookies.
Where it is kept
The service runs on a server we rent from Hetzner Online GmbH, a hosting company based in Germany. The server is outside Nigeria. Mail is sent through our own mail server at mail.kubinu.com.
How long we keep it
Account details are kept while the account is open. A workspace request is kept until it has been answered and for as long as we need a record of the conversation. The copy of an uploaded file is removed 30 days after it is saved. The rows read from it stay until your organisation replaces them or the workspace is closed, and so do the answers recorded in the field. When a workspace is closed, its uploaded data is scheduled for deletion 30 days later; ask and we will delete it sooner. The audit log is a record of changes and is not edited.
Who sees it
People in your workspace see what their role allows. A distributor's sign-in sees that distributor's own outlets and sales and the ground it alone covers; a supervisor sees no sales figure. Kubinu staff open a client workspace only through a support session with a stated reason; the session shows a banner on every page and is written to that workspace's audit log. We do not sell personal data, and we pass it to nobody else unless the law requires it.
Your rights
Under the Nigeria Data Protection Act 2023 you may ask for a copy of your personal data, ask us to correct or delete it, object to how we use it, or withdraw consent. Write to hello@kubinu.com from the address on your account. If the data sits in a list your organisation uploaded, we pass the request to your organisation, which decides. You may also complain to the Nigeria Data Protection Commission.
